From record to action without unnecessary administration

Validarium is designed for situations where storing a document is not enough. What matters is knowing when it expires, what should be done in advance, and where to find the context when it is time to act.

    Create an item.

    It can be an ID card, passport, insurance policy, professional certificate, contract, inspection, service task, or any custom type of deadline.

    Add the date, reminders, and context.

    Besides the expiration date, you can add a note, category, supporting information, and multiple personal reminders with their own advance periods and times.

    Follow status on the dashboard and calendar.

    Items are distinguished by validity, can be filtered by category, and opened quickly for full details.

    Act before the deadline becomes urgent.

    In the web app, each due reminder appears in the notification panel. On mobile, reminders can arrive as native notifications depending on the app mode.

    Renew or archive the item.

    After completion, set a new validity date and the reminders are recalculated automatically. Move records you no longer need to the archive and restore them later if necessary.

Who Validarium is for

For individuals and families who want order in personal documents and obligations. For small teams and companies that need to track contracts, certificates, inspections, or service dates without shared spreadsheets and manual checking.

Web and mobile versions

The web app is suited to managing larger sets of records, calendars, workspaces, and members. The mobile app lets you check a date, take a photo, add an item, or receive a native notification. Cloud data is available in both apps; Device data only on that device.

How notifications work

Each expiration can have any number of reminders with their own advance periods and times. In a shared cloud workspace, users receive the same initial settings when an expiration is created and can then customize them independently; the workspace owner can manage reminders for every user. The web app stores due reminders as personal notifications. Device mode schedules them locally on the phone, while Cloud mode sends each user their own server-powered push notifications.

Workspaces and sharing

Every cloud account and Device mode starts with a personal workspace, which counts toward the limit. Free allows 2 workspaces and the owner only. Pro allows 10 workspaces and up to 3 unique workspace guests per account. Family allows 15 workspaces and up to 6 account members including the owner, with access to selected workspaces. Business with 25 workspaces and 10 members is coming soon.

Calendar feeds

A cloud workspace owner can create multiple named private feeds and add active expirations to an external calendar app. Each feed can be renamed, regenerated, or revoked; its private link is shown only once after creation or regeneration.

Change history

Every expiration keeps a history of what happened to it: creation, edits with their previous and new values, date changes, renewals, archiving and restoring, attachment uploads and removals, and reminder changes. In cloud workspaces the history also records which member made each change. You can open it from the item detail in both the web and mobile apps.

Webhooks

Every workspace member can create webhooks in the web app and have expiration item events delivered to their own endpoint the moment they happen — no polling required. Deliveries are signed, can be limited to selected event types, and carry the change details including who made the change. Ideal for Slack or Teams notifications, synchronization with company systems, and custom automation.

Choose Device or Cloud for the way you work

Both mobile modes include expirations, categories, a calendar, archive, workspaces, and reminders. They differ in storage, synchronization, and collaboration.

Device mode

Private local tracking without an account. All data is stored only on that phone.

Cloud mode

An account connects the mobile and web apps and keeps data current across devices.

Moving between modes

Local workspaces, categories, items, and attachments can be moved to a cloud account. The app also supports downloading cloud data back into Device mode.

Attachments

In Device mode, photos and files stay on the phone. Cloud storage is shared by the account: 1 GB Free, 25 GB Pro, 100 GB Family, or a planned 500 GB Business; each attachment is limited to 10 MB.

Cloud plans

Free, Pro, and Family differ only in workspace, collaboration, and shared storage limits. Business is shown as Coming soon and has no checkout. Reminders, history, calendar feeds, API keys, and webhooks remain available on every cloud plan.
